Seek Funding
  • Find External Funding and Internal Funding opportunities on ORS website
  • The ORS has created a calendar of upcoming deadlines which will be updated regularly.
Find Collaborators
  • If you are interested in finding collaborators for your research idea, use the collaboration portal on the ORS website.
Notify Research Office
  • If applying for external funding, complete the Notice of Intent to Apply form. This form must be submitted before applying for external funding.
  • If Notice of Intent to Apply form is not required, alert the ORS via email about your application.
Prepare Proposal
  • Always review funding application guidelines, which may change over time.
  • It is advisable to discuss your application with your colleagues to gain valuable feedback on your proposed idea.
  • If you have questions about developing a research proposal, contact the ORS.
Create Budget
  • See Research Expenses for information on university policies and procedures for creating research expenses and budgets.
Request Feedback
  • Once your proposal is complete, ask colleagues to review it. Feedback helps funding success.
  • Discuss draft proposal with ORS, four weeks before the external deadline.
Obtain Permissions
  • Ensure you have discussed your application with your supervisor (if applicable)
  • Submit your application to the appropriate signing authorities, as applicable.
Submit to Funder
  • Submit SSAF application through the ORS website
  • Submit PD application to the program head.
  • Contact ORS for external applications. Each external funding opportunity has unique requirements, and some competitions require mandatory internal competitive review.
Provide Updates
  • Update the ORS and your dean/department head/supervisor on the status of your application.
  • Forward your notification of competition results from the external funder to the ORS.
Obtain and Maintain Research Ethics Board Approval (if applicable)
  • Submit your application to Yorkville’s Research Ethics Board (REB) through the ORS website. All applications must be submitted 30 days prior to the next REB meeting.
  • Submit annual study renewal form for ongoing projects.
  • Submit study amendment form for any changes to the projects.
  • Submit study completion form for closed projects.
Open a Cost Centre
  • The ORS must approve the creation of the research funds and renewals or extensions of existing funds.
  • Register for a Cost Centre with the ORS. This is where you can view and manage your funds.
Use Funds
  • Review the funding agency’s Eligible Expenses and Use of Funds Guidelines for each specific grant as well as the general guidelines on use of funds.
  • If you are unsure of the eligibility of a given expense, check with the ORS.
Communicate Success
  • Keep the ORS updated as to the status of your project. Communicate your successes and share important milestones.
Close Out Project
  • Notify the ORS once you have completed your project.
  • If you received REB approval for your project, submit a Study Completion form.
  • If you received funding from SSAF, submit the Internal Grant Final Report form.
